NOTE: Parents and guardians should know that an Independent Educational Evaluation (IEE) offers additional insights beyond the school district’s assessment but differs from a private evaluation. We can only test areas identified by the school district and are limited by their funding decisions. While many districts rely on us to determine necessary components, the scope of an IEE must be approved by school district administration.

We also contract with districts to provide expertise and/or in depth assessment beyond the typical school evaluation but as part of the school team in the above areas.

This type of evaluation does not necessitate that school testing be rejected. Rather, it is an option when the district and guardians mutually agree that further information is needed, an outside perspective would be beneficial, or help teasing apart challenges and constructing an effective education plan is necessary. Sometimes, this option is used for follow-up on previous evaluations, for progress monitoring of educational services, or an in-depth review of a student’s education plan.

We are also available to districts for ongoing evaluation and consultation services by semester or academic year at bulk pricing

How It Works

A school district must first agree to fund an Independent Educational Evaluation (IEE) and provide the parent(s) or guardian(s) with a letter confirming that the IEE will be funded. Additionally, the specific area(s) to be assessed must be determined and mutually agreed upon.

Step 2: School Contract Inquiry Form

Only once a district has agreed to fund an IEE (often a letter is provided to parents/guardians), or to inquire about other school contracting, school administrators should complete a School Contract Inquiry Form

If we have questions, we may contact the district and/or parent(s)/guardian(s) to discuss concerns, review the student’s educational history, and determine the appropriate assessments needed (within the agreed upon scope).

We require all previous testing, current IEP/504 plans and family/guardian contact information. Having records from the start helps us determine the needed scope of assessment and our ability and timeline to be able to fulfill the request.

We will negotiate a contract with the responsible school district. Evaluations cannot be scheduled prior to a signed contract being obtained.

We charge a mix of Massachusetts 101 cmr 330 state rates (published 4/12/24) and flat rates depending on the types and combinations of evaluation services being provided. Please contact our front desk at 413-584-0265 or for questions about our rates.

Over the course of one or multiple testing appointments at our Northampton office (depending on the scope of the evaluation), our team will conduct a thorough evaluation using a variety of standardized tests, observations, and interviews to gather comprehensive data on the student’s abilities and needs.

At times, districts may include a school observation as part of the contract. In that case, an evaluator from Learning Solutions will work with your child’s district to determine an observation date, and that date will be communicated to you by our front desk.

We will meet with you to obtain updated information, ask relevant questions, and provide a broad overview of the evaluation scope. Specific results are not typically discussed at this meeting.

We will compile our findings into a detailed integrated multidisciplinary report, including specific recommendations for educational interventions and supports. Reports are emailed to the family and school district simultaneously.

If agreed to, we will attend a virtual educational team meeting to review our findings, at the district’s cost. Please note that we can only report on our findings and make recommendations that stem from the data. We cannot act as educational advocates at meetings.

School districts send a contract or complete the School Professional Inquiry Form. A contract is made and signed by a Learning Solutions representative and the district.

Learning Solutions contacts the guardian to complete paperwork. If the paperwork is not completed after two reminders, the school district is contacted and testing may be postponed.

Testing Dates

The guardian is contacted by email with testing date(s).

Testing Session

The client attends the testing session(s) as scheduled. Click here to find out what to expect for the testing session.

Parent Meeting

Approximately two weeks after the last testing date the guardian(s) attend a parent meeting at which time parents are asked questions to clarify background information. No results are given at this time.

Written Report

Approximately 4-6 weeks after the last testing date a written report is sent to the school district and to the guardian(s) simultaneously.

School District Meeting

If the school district has contracted with Learning Solutions to attend a meeting, Learning Solutions attends a meeting virtually to discuss the evaluation results.
